A model may correctly explain a purchase order yet be unable to tell whether an invoice has been posted, whether a stock reservation remains valid, or whether the requesting employee can change a supplier record. Microsoft AB-100 asks architects to orchestrate AI features in Dynamics 365 finance and supply-chain applications while preserving the transactional rules that make enterprise resource planning reliable.

Imagine a manufacturer whose buyer asks an agent whether a delayed component can be replaced without jeopardizing production. The agent might combine on-hand inventory, open purchase orders, demand forecasts and supplier lead times. Each source has a time, company and authorization scope. An answer that merely repeats old inventory figures can cause a missed shipment. The architecture must separate explanation from commitment and state exactly when a human or ERP operation owns the decision.

Keep ERP transaction ownership explicit

Finance and operations applications enforce business logic around posting, settlement, inventory reservation, procurement and security. An AI agent should not recreate that logic in natural-language prompts. Use the application’s supported services, data entities, workflows and validations to determine what operations are possible. A proposed journal entry is not a posted journal; a recommended substitution is not an approved change to a bill of materials.

Model the state transition for the specific business action. A vendor invoice may move from received to matched, approved and posted, with exceptions along the way. The agent can gather documentation, identify mismatches and propose a resolution. The ERP system should validate amounts, purchasing policy, fiscal period, currency, ownership and segregation of duties. If a required condition fails, return an actionable exception rather than a fabricated successful status.

Add business knowledge without confusing it with live records

Operating procedures, vendor agreements and accounting policies are suitable grounding sources when they have clear effective dates, owners and access rules. But questions about today’s on-hand quantity or an outstanding credit limit require current operational data. Mixing a cached policy answer with a live balance without indicating which is which can mislead users. Architect a retrieval layer that records source type, version and freshness expectations.

Microsoft documents adding knowledge to finance and operations agents, including Dataverse virtual entities that expose permitted ERP information. Virtual entities are a useful integration path, but their availability and security should be checked in the target environment. The agent should not infer that being able to read an inventory entity means it can reserve, receive or dispose of goods. Those are separate permissioned business actions.

Organize cross-company and cross-legal-entity data carefully

A multinational organization’s similarly named warehouses, vendors and customers may belong to different companies or legal entities. A part number can exist in several companies with different accounting rules. Include legal entity, site, warehouse, currency, customer and version identifiers in tool contracts where relevant. Do not accept an unqualified “approve this order” as sufficient input for a change with financial consequences.

Ensure that row-level and company-level access remain enforced at the data source and action layer. A purchasing manager in one region may need a summarized network-wide availability answer but lack permission to access another entity’s vendor banking details. Data minimization should be explicit in any agent-to-agent handoff. For broader enterprise controls, AB-100 governance in regulated environments provides the ownership and review lens.

Design procurement and inventory scenarios for partial failure

Procurement workflows often span several systems: an inbound supplier message, document extraction, inventory planning, approval, purchasing, and logistics confirmation. A failure can occur after some actions succeed. Record a correlation identifier, completed steps, pending approvals and safe compensation paths. If a system times out after recording a purchase order, check its actual state before attempting another create operation.

Suppose an agent recommends transferring stock from warehouse A to B. The first leg is recorded, but the second fails because the receiving location is closed. Do not tell the user that the transfer is complete simply because the agent’s intended plan included both steps. Surface the partial state, stop unsafe retries, alert the appropriate owner and follow a documented recovery process. The orchestration design must remain accurate even when the model misunderstands a tool result.

Treat Copilot in-app guidance as a bounded capability

Finance and operations Copilot experiences can include an in-app sidecar for explanations and task support. Microsoft describes the Copilot architecture for finance and operations, including application and Power Platform integration requirements. The architect should check which features are enabled and supported rather than assuming every Copilot scenario works identically in all tenants.

An in-app agent can explain why an invoice is blocked or guide a user to the correct workflow. That does not grant it the right to bypass an authorization rule or post the invoice automatically. Choose whether a requirement needs advice, navigation, a proposed draft or a committed action. These four outcomes have different acceptable error rates, telemetry, rollback needs and human supervision.

Extend knowledge and help without undermining policy

AB-100 specifically calls for determining how knowledge sources should enrich in-app help for Dynamics 365 Finance and Supply Chain Management. Start with curated, approved procedures and maintain document ownership. A user asking how to close a period should receive guidance for their actual role and applicable version of the process, not generic instructions copied from an obsolete implementation. Cite the responsible internal document and note important prerequisites.

A knowledge update should be treated as a release dependency. If finance publishes a revised expense policy, the agent’s retrieval index and tests need to reflect it. Test conflicting versions, removed access, translated procedure titles and instructions embedded in a supplier PDF. A document telling the agent to skip an approval is source data, not valid system authority. The existing secure tool access architecture helps define that boundary.

Test finance and supply-chain outcomes end to end

Build test cases that span the whole process rather than only prompt quality. For procurement, include duplicate vendor invoices, mismatched quantities, missing approvals, a substituted item and a credit-hold condition. For supply planning, include stale stock, a late shipment and multiple possible warehouses. Evaluate whether the agent identifies the correct authoritative record, proposes a valid next step and discloses uncertainty without inventing a transaction.

Include users with different roles and companies, and confirm that forbidden records remain forbidden. Record tool parameters, validation failures, ERP identifiers, approvals, action outcomes and model version. A generated explanation that sounds accurate but references the wrong company is a severe defect. Metrics should include accepted business outcomes, correction work, latency, escalation rate and any duplicate or unauthorized changes.

Operate agent changes alongside application lifecycle management

ERP interfaces, entities and business rules evolve. A deployment that changes a virtual entity, custom action or accounting workflow can change an agent’s behavior without editing the agent prompt. Version data contracts and integration permissions; test the sequence with representative nonproduction records before rollout. Keep a way to suspend write actions while preserving harmless read-only advice if a risk is discovered.

An AB-100 architect should be able to explain why the agent assists a purchasing or finance team without replacing the ERP’s rules. Use natural language for interpretation, retrieval and preparation; use deterministic services for posting and authorization; use human judgment at legally or financially significant checkpoints. Production reliability depends on that division of responsibility, on traceable data lineage and on recovery when a seemingly simple workflow spans several systems.

Architect Dynamics 365 Finance and Supply Chain AI agents for AB-100, preserving transaction authority, virtual-entity access, grounding and operational safeguards.

[12,8

post-4074","post","type-post","status-publish","format-standard","hentry","category-ai-data","category-certifications
["GET
