A scanned document contains more than visible characters. A form has questions, labels, tables, checkboxes, signatures and fields whose meaning depends on layout. Extracting the correct value requires identifying what the text belongs to and validating the result. In AI-901, Azure Content Understanding in Foundry Tools provides a practical example of converting documents and forms into structured data for a lightweight application.

Imagine a community sports center processing fictional membership forms. Each form includes an applicant’s name, membership type, preferred location and signature date. An automated assistant could prefill a review screen, but the membership team must confirm uncertain values and enforce eligibility rules. The goal of document processing is to reduce transcription effort while retaining the source evidence needed for correction.

Distinguish OCR, layout analysis and field extraction

OCR recognizes characters from an image or scanned page. Layout analysis identifies where those characters belong, including paragraphs, tables and potentially structural regions. Field extraction maps content to semantic labels such as applicant_name or signed_on_date. These are related operations but not identical. Reading the word “June” correctly does not establish whether it is the start month, signature month or expiration month.

Use a reviewer-approved schema and compare outputs with the original form. A document may contain two dates or a handwritten note crossing a table cell. The extractor should identify ambiguity rather than silently choose a plausible value. If the source evidence is insufficient, the correct result is a review request, not an invented field.

Understand the role of an analyzer

An Azure Content Understanding analyzer defines the kind of content to process, what should be extracted and how the result should be structured. Microsoft documents Content Understanding analyzers, including base analyzers, domain-specific configurations and custom analyzers. A document workflow might use a prebuilt analyzer for a common form or define custom fields for its own membership application.

Some advanced analyzer options or reasoning modes require preview API versions. Do not assume every feature is generally available or appropriate for production. The AI-901 objective is to recognize how documents or forms can be processed into useful structured information and how a small client receives and validates the result. A good lab begins with a supported feature and a simple, documented schema.

Define field types and validation before extraction

List the required fields and the allowed values. The sports center might permit membership_type to be adult, youth or senior, and location to match an approved branch identifier. The extractor can propose values, but application code should reject an unknown type, nonexistent branch or impossible date. If the person left a field blank, the system should preserve that absence rather than infer a preferred answer from other text.

Where source references or field confidence information are available, retain them for the reviewer. A confidence score is not automatic proof of correctness. A field can be identified with apparent certainty but refer to the wrong line. Show enough context for someone to compare the extracted value with the scanned form before the membership is created.

Handle multi-page and repeated-field forms

A multi-page application may repeat the same name on several pages, or use different names for the applicant and emergency contact. Treat each field’s role explicitly. The extractor should not combine the guardian’s signature date with the applicant’s birthdate simply because both are near a labeled date field. Tables may require row and column interpretation, not only flat text recognition.

Construct test forms with a missing page, a duplicate field, an unclear signature and a table whose columns wrap onto two lines. Record whether each result is supported by the document and whether the application asks for correction. Data validation can detect contradictions such as an end date preceding a start date, even when character recognition was correct.

Distinguish specialized document extraction from open-ended chat

A generative chat response might summarize a form, but a membership system usually needs typed, consistent fields and source evidence. Choose a content-extraction analyzer when reliable structured data are central to the workflow. A chat model may still explain what a missing field means to a user, but it should not overwrite the authoritative record without review.

The AI-901 workload map contrasts information extraction with text analysis and generation. When the prompt asks to pull an amount from a receipt, the relevant skill is more specific than producing a general summary. If the user asks to explain a policy in plain language, a grounded generative response may be appropriate instead.

Test privacy and security across the document pipeline

Forms can contain addresses, dates of birth and other personal details. Upload only synthetic or properly authorized documents in a learning environment. Define which values actually need to reach the AI service, who can review the results and how long copies are retained. Access controls apply to source files, extracted fields, temporary processing artifacts and logs; protecting only the final database table is not enough.

A scanned form may also contain instruction-like text, intentional or accidental. Treat it as user-supplied content rather than an administrative command. An instruction written in the margin telling the AI to approve membership does not grant eligibility. The actual business rules and user permissions must be enforced outside the model or analyzer.

Evaluate extraction field by field

Create ten synthetic forms with known ground truth and record exact field accuracy, false extractions, missing fields and values needing human correction. Segment the results by typed versus handwritten input or clean versus low-resolution scans. A single average accuracy can hide one field that is consistently wrong and important to the business. Review the source evidence for mistakes instead of optimizing solely for a numerical score.

Try one unsupported form layout to test the system’s refusal and escalation behavior. Measure the time saved after accounting for review and correction. If the extractor produces many uncertain fields, a more constrained form layout or clearer image capture may be a better investment than repeatedly changing model prompts.

Build a beginner workflow and preserve correction paths

A lightweight application can send a permitted sample document to the configured analyzer, obtain structured candidate fields, validate expected types and present an editable review form. Once an authorized reviewer accepts the data, the application can save it through the normal membership service. Record the source file reference and approval status, not simply the model’s generated assertion that the record is ready.

The AI-901 objectives explicitly includes extracting information from documents and forms with Content Understanding. For richer modalities, the media extraction companion extends the same ideas to images, recordings and videos. The foundational principle remains: extracted information must be mapped to a known schema and validated against the source before it drives a real action.
